How IDEMIA Reports On Its Global Activities With Optimy

IDEMIA is a multinational technology company headquartered in Courbevoie, France. It provides identity-related security services and sells facial recognition and other biometric identification products and software to private companies and governments.

Challenge‍

The Corporate Social Responsibility (CSR) team at IDEMIA needed a tool that would enable them to visualize all their actions, but also one that would be accessible to all, so that it could serve as a source of inspiration for all IDEMIA employees. 

Because IDEMIA has employees in many different locations, they wanted to have a reporting and communication tool for all their employees on the various actions carried out locally. In addition, IDEMIA also needed to report on all actions carried out by their employees worldwide.

Solution

IDEMIA called on Optimy to set up our tool, which is available on a website and via IDEMIA’s intranet, and which is very easy to use.

In concrete terms, employees have access to a questionnaire which, once completed, is forwarded to IDEMIA’s CSR team, which checks, measures, and reports to the General Management or via their annual report.

The employee accesses the form via the intranet, fills it in, submits it, and once it's done, they have access to the information to finalize their reporting and communicate it. The CSR team needs to check and confirm that the project that has been carried out corresponds to IDEMIA’s KPIs, ethical charter, and local regulations while making it visible to all employees. IDEMIA now has around one hundred and thirty projects on the platform, which has been up and running for over two years.

The CSR team reports to IDEMIA’s CEO, but they also have a whole community of CSR ambassadors with whom they have a governance structure in place. They report to each other on what has been done at the regional and site levels, and on what has been done at the global level. In particular, they report on the number of local initiatives, the number of employees involved in these projects, and so on.

They also use Optimy's ‘Maps’ functionality, which enables them to report and communicate on all actions carried out by IDEMIA employees all over the world.

Result

When the CSR team took over at IDEMIA, Optimy’s implementation was already underway. They took on the project as it progressed, but very quickly realized just how easy it was to customize and adapt Optimy to their codes: the code of ethics and code of conduct.

“It's a detail, but it's a very important one. Not to mention the fact that the form is extremely simple and user-friendly, which is also very important. And finally, in terms of monitoring, measuring and distributing/placing on the map, it's also extremely simple: one click and it's done. This is invaluable for us in terms of time management, both for the person reporting the project and for the person analyzing it afterwards.”, said Marie-Louise Lemarchal, CSR Assistant at IDEMIA.

Marie-Louise also remarked on how easy it was to tailor Optimy to IDEMIA’s existing processes. “You really need to think about your selection process before you start working with Optimy to build the selection tool, the site, the platform, and all that. I want to make this clear because if the process isn't clear, the tool won't invent it for us.” 

Since they started using Optimy, IDEMIA has managed 168 projects, including more than 100 in 2023 alone.
